About The Posen Library
The Posen Library of Jewish Culture and Civilization is a growing, landmark collection of Jewish literature, artwork, and artifacts, from the biblical to the contemporary period. Through printed volumes (Yale University Press) and an online digital site, The Posen Library aims to educate broad audiences about the diversity and richness of Jewish culture from around the world.
For the past 20 years, scholars have been researching, collecting, translating, and writing about these primary sources for The Posen Library. We release volumes as they are completed. By Spring 2021, half of the originally commissioned volumes will be available to the public. The remaining half will be released within the next few years.
The Posen Library team is currently comprised of six full-time staff members spread out across North America as well as multiple part-time staff and dozens of active contractors. While there is a small office in New York City, the team has largely always worked remotely.
The position
Research for the collection has been underway for some time however The Posen Library is a quickly expanding project with the administrative infrastructure of an early startup. We seek someone to keep the administrative wheels running while overseeing the enhancement of our systems.
The Administrator will work closely with the Managing Editor and one of the Senior Editors to ensure that existing operations run smoothly, including managing the organizational and technological infrastructure for our current in-house contact system. This person will also bring their 5+ years of experience in office administration to refine and improve our finance systems and work with our accountant to transition to QuickBooks Online. They also will research CRM software options to find candidates amongst outside project management systems that meet The Posen Library’s unique needs. Once a CRM software is identified, they will work with the software vendor to manage the transition to the new software and oversee the new system when it is established.
Tasks include but are not limited to:
- Overseeing systems administration: maintaining already established technology, data, and finance systems, processing payment paperwork, keeping immaculate records
- Collaborating with the Managing Editor and one of the Senior Editors to identify areas for increased efficiency, including improving current finance and contact management in-house systems
- Managing the new finance and CRM systems once established
- Managing and coordinating book inventory and shipments
- Managing organizational calendar and administering meetings, including meeting setup, reminders, notetaking
Skill sets:
- At least 5 years of experience in office administration, payment systems, and logistics support
- In-depth knowledge of various office programs and databases across technology platforms, including QuickBooks Online, Microsoft Office and especially advanced Excel features, at least one CRM software, Dropbox, and Adobe, as well as an enthusiasm to learn more
- Demonstrated ability to manage and prioritize multiple tasks and logistics in a fast-paced, remote-working environment
- Independent initiative and resourceful problem-solving, along with excitement to be part of a team committed to one another’s growth
- Excellent communication skills
- A sense of humor and ability to roll with the punches
The Administrator position is mostly remote with occasional trips to our office in New York City as needed for book shipments and as deemed safe by public officials. Occasional travel may also be required for events and conferences. The position is salaried and includes health and vision benefits as well as paid vacation, parental leave, and family sick time. A stable, high-speed internet connection is required for the position and must be provided by the candidate.
